Hartshorne & Mehl: Legal Administrative Assistant Position Available

Hartshorne & Mehl is a well-established boutique, mid-sized, firm, which has been in the practice of civil litigation for almost 60 years.  We specialize in complex litigation, including catastrophic brain and spinal injury cases.

 

We are seeking a Legal Administrative Assistant to join our team. The position is full time, Monday to Friday, in-office, with a competitive benefits and compensation package.

 

This is your opportunity to join an enthusiastic team environment working directly under the supervision of a Senior Lawyer and Paralegal.

 

Your daily Legal Administrative Assistant daily duties include:

 

  • Typing dictation/transcription;

  • Daily lawyer time entry;

  • Drafting and proofreading correspondence and standard BC Supreme Court forms;

  • Maintaining a bring forward system, including determining deadlines in accordance with the BC Supreme Court Civil Rules and entering all mandatory deadlines into electronic format;

  • Maintaining appropriate limitation dates where applicable;

  • Scheduling trials, examinations for discovery, IME’s, conference calls, client meetings and independent initiation of all required correspondence associated therewith;

  • Preparation of documents for experts;

  • Preparation of exhibits for examination for discovery and trial;

  • Review and preparation of bill payments as appropriate;

  • Preparing and updating trial binders;

  • Daily filing and photocopying;

  • Opening files and closing files, to include review of documents and exhibits and determination of documents to be destroyed and/or retained pursuant to Law Society Rules and Guidelines; and

  • Performing other related LAA tasks as requested by Lawyer.

 

Your qualifications include:

 

  • Previous experience in Civil Litigation, insurance defence and/or Plaintiff personal injury experience is preferred;

  • Successful completion of a Legal Administrative Assistant program from an accredited institution is preferred, but prior experience will be considered in lieu of;

  • Excellent written and verbal English communication skills;

  • Proficient in all aspects of Microsoft Office (Word, Outlook, Excel), experience working with Worldox and Esilaw is an asset;

  • Ability to multitask and prioritize work;

  • Strong organizational skills;

  • Ability to work well under pressure and in a fast-paced environment; and

  • An understanding of the British Columbia Supreme Court Civil Rules.
